QuickBooks Integration — Invoice Import Guide

The QuickBooks integration lets you import outstanding invoices from QuickBooks Online into Partially and create payment plans for your clients.

Step 1 — Connect QuickBooks

  1. In Partially, go to Settings → Integrations.
  2. In the QuickBooks section, click Connect QuickBooks.
  3. You'll be redirected to QuickBooks to authorize access. Log in with your QuickBooks Online credentials and click Connect.
  4. You'll be redirected back to Partially. Your QuickBooks account is now connected.

Step 2 — Import Invoices

To import invoices:

  1. Go to Settings → Integrations → QuickBooks → Import Invoices.
  2. Partially fetches your outstanding (unpaid) invoices from QuickBooks.
  3. Review the list. You can filter by customer, date range, or minimum amount.
  4. Select the invoices you want to convert to payment plans.
  5. Choose a default offer — the plan terms that will apply to imported invoices.
  6. Click Create Plans.

Partially creates a payment plan for each selected invoice and optionally sends a plan request to the client.

Step 3 — Sending Plans to Clients

After importing, each client receives an email with a link to review and accept their payment plan. They enter their payment method and agree to the terms.

To resend a plan request, go to Payment Plans, find the plan, and click Resend Request.

Step 4 — Syncing Payments Back to QuickBooks

When a client makes a payment through Partially, a corresponding payment record is automatically created in QuickBooks against the original invoice. This keeps your books up to date without manual data entry.

Partial payments are recorded proportionally — if a client pays one installment out of six, 1/6 of the invoice is marked as received in QuickBooks.

Troubleshooting

Invoices not appearing — QuickBooks only shows invoices with an outstanding balance. Fully paid or voided invoices won't appear. Also confirm your QuickBooks company file is selected if you manage multiple companies.

Sync not working — Go to Settings → Integrations → QuickBooks and click Re-authorize to refresh the connection. QuickBooks OAuth tokens expire periodically.
